Job Description
Are you an experienced Assistant Purser ready to bring your shipboard knowledge ashore?
Mystic Cruises / Mystic Ocean is looking for a Crew Administrator to join our Seagoing HR team at our office in Porto, Portugal.
This role is particularly suited to an Assistant Purser, Crew Administrator or maritime HR professional with experience in crew payroll, contracts and compliance.
This is a shore-based, office position. Candidates must be based in Porto or willing to relocate.
Your responsibilities
Support monthly crew payroll processing and take full ownership during the payroll lead’s absence.
Prepare timesheet and vacation reports for crew employed on yearly contracts.
Verify crew reimbursement requests against company policies.
Support the preparation and revision of the Collective Bargaining Agreement (CBA), coordinating with internal teams and external stakeholders.
Prepare and coordinate twice-yearly contract renewals for yearly contract holders.
Conduct spot checks of vessel crew documentation for compliance with applicable maritime requirements.
Perform an annual audit of crew records in MXP to support licence renewals and external audits.
Manage crew registrations and departures with Portuguese Social Security.
Prepare and distribute weekly crew movement schedules, coordinating with the crewing team and vessel agents.
Qualifications
Relevant experience as an Assistant Purser, Crew Administrator or in a similar maritime role, preferably within the cruise industry.
Practical knowledge of MXP, crew payroll and crew documentation.
A good understanding of maritime employment requirements, including MLC, STCW and CBAs.
Strong Excel skills and confidence working with data and reports.
Excellent attention to detail, organisation and follow-through.
Professional English communication skills.
Discretion when handling confidential employee information.
The ability to work independently and coordinate with colleagues, vessels and external partners.
Experience with Portuguese Social Security procedures is an advantage.
