Operations Officer (Maritime Catering)

As part of our continued growth, IFS is expanding its operations in Portugal and are looking
for driven professionals to strengthen our team.
As an Operations Officer, you will play a key role in supporting and managing the day-to-
day catering operations for a fleet of vessels worldwide. This is a dynamic and hands-on role
within an international environment where no two days are the same.
This position is designed for individuals who are eager to build a long-term career in
operations. You will follow a structured onboarding program, gaining experience across
different functions within our Operations department, with the opportunity to gradually take on
more responsibility, including managing your own fleet of vessels.
Role Overview
The Operations Officer is responsible for coordinating and monitoring catering operations for
vessels, ensuring smooth execution of orders, accurate administration, and high client
satisfaction.
During your onboarding, you will be trained across different operational roles and processes,
allowing you to build a strong foundation before taking full ownership of your responsibilities.

Key Responsibilities
Operations and Order Management
- Process and monitor daily orders for assigned vessels
- Coordinate with suppliers, captains, and stakeholders to ensure timely deliveries
- Follow up on order confirmations, changes, and operational issues
- Ensure all urgent matters are handled promptly
- Act as a key point of contact for vessels, suppliers, and ship owners
- Build strong working relationships with captains and stakeholders
- Ensure clear, professional, and timely communication
- Monitor vessel budgets and consumption
- Check and process invoices, inventories, and daily meal reports
- Ensure accuracy of all operational data in internal systems
Problem Solving and Claims Handling
- Follow up on claims and ensure proper resolution
- Identify operational issues and take corrective action
- Escalate complex cases when needed
- Gradually take ownership of a fleet of vessels
- Contribute to improving operational processes
- Support team performance and collaboration
9-6pm, 5 days per week between Monday and Saturday (40 hours per week)
Requirements
Your Profile
Experience And Education
- Bachelor’s degree or equivalent experience
- Minimum 3 years of experience in operations, logistics, supply chain, or similar
- Experience in maritime, catering, or shipping is a plus
- Strong analytical and problem-solving skills
- High attention to detail and accuracy
- Strong organizational and planning skills
- Ability to work under pressure in a fast-paced environment
- Proactive, hands-on mentality with a sense of ownership
- Strong communication and stakeholder management skills
- Professional level English (mandatory)
- Fluent in Portuguese
