Job Purpose

To support the day-to-day operations of the office with a dual focus on General Services and EHS (Environmental, Health, and Safety), ensuring compliance with legal obligations, internal policies, and operational needs.

This Role Combines Two Key Areas

  • General Services & Administrative Support: Providing ongoing support to Facilities operations, suppliers, travel management, and general office administration.
  • EHS (Operational Focus): Ensuring health and safety compliance for all employees in coordination with the HR department, with a strong hands-on approach to implementing and maintaining EHS practices.

The role reports directly to Facilities with a dotted line to HR for operational EHS topics.

Responsibilities

EHS:

  • Ensure compliance with occupational health and safety legislation and internal policies
  • Coordinate annual medical check-ups for all employees and mandatory exams for those returning from absences longer than 30 days
  • Support the implementation of risk prevention measures
  • Organize and conduct fire drills and health & safety training
  • Maintain updated H&S documentation, policies, and inventories
  • Work closely with HR on the operational side of EHS
  • Assist in audits, inspections, and compliance processes

General Services & Facilities Operations

  • Monitor and support technical building systems (HVAC, alarms, BMS, etc.)
  • Coordinate with external suppliers for repairs and maintenance
  • Manage preventive maintenance planning
  • Support and supervise reception, access control, and general security systems
  • Manage access (keys, key plans, parking access)
  • Support event logistics and provide basic administrative assistance to departments

Administrative & Operational Support

  • Maintain inventories (furniture, contracts, IT Equipment, office supplies, etc.)
  • Keep updated office floor plans, key/access logs, and security documentation
  • Oversee mail and printing services
  • Coordinate archiving processes with internal and external providers
  • Ensure regular stock and ordering of kitchen, office, and special supplies

Travel & Expenses Management

  • Manage travel requests in line with the internal travel policy.
  • Liaise with the travel agency and support employees with bookings and documentation.
  • Follow-up invoices on SAP for the FM Office (whole process).
  • Creation of SR’s and PO in SAP.
  • Provide direct travel support for senior executives and coordinate international events (e.g. trade fairs, European meetings, etc.).

Requirements

  • University degree and Certification in EHS (“Higiene, Saúde e Segurança no Trabalho”) is a plus, but not mandatory
  • Previous experience in a Facility Management or similar operational environment
  • Experience with travel and administrative support
  • Experience in EHS topics is required
  • Good knowledge of MS Office tools
  • Ability to quickly learn internal systems such as SAP and Concur
  • Basic understanding of technical systems (HVAC, alarms, BMS, access control)
  • Highly responsible, proactive, and detail-oriented
  • Organized and able to manage multiple tasks under pressure
  • Strong interpersonal and communication skills
  • Customer-oriented and service-minded
  • Team player with a hands-on attitude
  • Able to take initiative and adapt to changing priorities
  • Fluent in Portuguese and English
