About The Role
The Office Administrative Assistant for Nox Portugal plays a critical part in ensuring the smooth operations of a variety of administrative and clerical tasks for Nox Portugal.
The ideal candidate will have excellent communication skills, both written and verbal, and must be able to multitask effectively in a fast-paced environment. You will be the first point of contact for visitors, making it essential to maintain a professional demeanor at all times. Beyond the front desk duties, you will handle scheduling, manage correspondence, and support various office functions. What You'll Do
- Be the internal link to our accounting, collecting invoices and sharing it both internally and externally via the appropriate channels (usually an electronic platform)
- Help your colleagues to schedule flights, hotel and other requirements when they have business trips
- Manage phone calls and correspondence (e-mail, letters, packages).
- Maintain organized filing systems both electronically and physically.
- Handle office supply inventory and place orders as necessary.
- Organize internal events (book event rooms, catering, restaurant)
- Coordinate with our HR team multiple HR activities like onboarding and offboarding
- Coordinate with our international IT team equipment purchases in Portugal
- Support team members with various administrative tasks and projects.
- Define and document internal procedures
- High school diploma or equivalent; additional qualification as an administrative assistant is a plus.
- Proven experience as an office administrative assistant or similar role.
- Strong proficiency in Google Suite (Email, Docs, Sheets, Slides, etc.)
- Excellent communication and interpersonal skills.
- Ability to handle multiple tasks and prioritize effectively.
- Strong attention to detail and problem-solving skills.
- Ability to work independently and as part of a team.
- Needs driving license
- English/Portuguese fluency
